Vacancy: Project Coordinator      

Location: Dubai, UAE

We are looking for a responsible Project Coordinator to “ADMINISTER” and “ORGANIZE” all types of projects on a daily bases. The Project Coordinator we are looking to hire must be able to properly and promptly address the following: 

  1. Must provide daily updates to Company on progress of works completed, pending and planning (checklist/to do list)

  2. Must be able to take direction from senior staff and directors of Company

  3. Must be able to coordinate and communicate efficiently and professionally with all trades (clients, manufacturers, suppliers, contractors, etc.) involved on each project.

  4. Prepare Comprehensive Action Plans to Achieve Milestone Dates and Objectives

  5. Must Perform Various Tasks (Create Schedules, Estimating, Administrative Duties, Risk Management, Project Documentation and Handling Queries)

  6. Must Have Excellent Time Management Skills

  7. Must Have Excellent Communication Skills (both oral and written)

  8. Must Be Able to Keep up with 100+ Emails a day

  9. Must Be Able to Deliver 100% Results before Deadline Dates. 

 

The Project Coordinator’s duties are to ensure that ALL PROJECTS are completed on time, within budget and meet highly quality standards. 

Responsibilities: 

  • Coordinate project management activities, resources, equipment and information

  • Break projects into doable actions and set timeframes

  • Liaise with clients to identify and define requirements, scope and objectives

  • Liaise with manufacturers and suppliers on daily/weekly performance product and project updates an follow-ups

  • Make sure that clients’ needs are met as projects evolve

  • Help prepare budgets while assist with new inquiries and lead follow-up between client and manufacturers

  • Follow-up on projects quoted to clients and contractors on previous tenders and inquiries. 

  • Analyze risks and opportunities

  • Monitor project progress and handle any issues that arise

  • Act as the point of contact and communicate project status to all participants

  • Use tools to monitor working hours, plans and expenditures

  • Adhere to all appropriate terms and conditions to proposals, invoices, purchase orders, etc., (e.g. contracts and terms of agreement), and the ability to comprehend material and flag any gray areas that may be in conflict with cost, planning, material, and timing.  

  • Create and maintain comprehensive project documentation, plans and reports (document control)

  • Ensure standards and requirements are met through conducting quality assurance tests

Requirements: 

  • Proven work experience as a Project Coordinator or similar role, having 5 years minimum experience

  • Experience in project management, from conception to delivery

  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans

  • Solid organizational skills, including multitasking and time-management

  • Strong client-facing, communication and teamwork skills (both verbally and written)

  • Familiarity with risk management and quality assurance control

  • Strong working knowledge of Microsoft Project, Microsoft Planner and Excel

  • Strong working knowledge of Google, Google Docs, Drive and Gmail. 

  • BSc in Business Administration or related field
